As a Production Coordinator, you are a master of logistics and a champion of efficiency. Your primary mission is to support the daily operations of our animation production chain. You will work on projects from early pre-production through to final delivery, ensuring every asset is tracked and every milestone is reached.
This position requires someone who thrives in a fast-paced environment and possesses the “soft skills” to manage diverse creative personalities while maintaining strict adherence to technical and temporal constraints. You are not just a scheduler; you are a problem-solver who anticipates bottlenecks before they happen.
In-Depth Responsibilities
1. Project Lifecycle & Pipeline Coordination
- End-to-End Tracking: Coordinate and track the progress of animation projects from pre-production stages to final delivery.
- Data Management: Manage and update schedules, task assignments, and production data within ShotGrid to maintain a “single source of truth.”
- Workflow Consistency: Contribute to maintaining consistency in naming conventions, file structures, and general workflow processes across the studio.
2. Communication & Meeting Management
- Collaborative Liaison: Work in close collaboration with artists, supervisors, and producers to ensure all key deadlines and project milestones are respected.
- Facilitation: Organize and lead production meetings, including daily stand-ups, technical work reviews, and status updates.
- Documentation: Take detailed notes during meetings and promptly distribute summaries and action items to all relevant stakeholders to ensure accountability.
3. Reporting & Problem Solving
- Progress Monitoring: Monitor daily and weekly progress, identifying and reporting bottlenecks or potential delays to production leadership.
- Technical Support: Assist in troubleshooting pipeline or workflow issues in collaboration with our technical teams.
- Resource Allocation: Support the management of priorities and the allocation of resources between different departments to keep the engine running smoothly.
- Asset Accessibility: Ensure all assets, files, and deliverables are correctly saved, registered, and easily accessible to the team.
Candidate Qualifications
Professional Experience
- Industry Background: 1 to 3 years of experience in animation, visual effects (VFX), or a similar high-volume production environment.
- Technical Expertise: Practical, hands-on experience with ShotGrid (formerly Shotgun) for task tracking and production management is essential.
- Operational Knowledge: A basic understanding of the various production stages, including modeling, rigging, animation, lighting, and compositing.
Technical & Cognitive Skills
- Organizational Prowess: Solid multitasking skills with an acute attention to detail and a high degree of organization.
- Communication Mastery: Excellent written and oral communication skills in both French and English (preferred for the Montreal hub).
- Software Proficiency: Mastery of Google Workspace and Microsoft Office tools.
