This role is specifically focused on an exciting upcoming TV Featurette, where you will play a critical role in ensuring the digital building blocks of our world—modeling, surfacing, and grooming—are delivered on time and to the highest standard.

The Mission of the Assets Production Coordinator
The Assets Department is the foundation of any 3D production. Without well-built models, textures, and grooms, the downstream departments—Rigging, Layout, Animation, and Lighting—cannot function. As the Production Coordinator for Assets, you are the “glue” that holds this complex technical and creative process together.
You will support the Assets Department by coordinating day-to-day activities, working side-by-side with Asset Leads and Supervisors. Your goal is to manage schedules, track the evolution of every character and environment, and ensure that every deliverable aligns with the overall production timeline. You are not just a tracker of tasks; you are a vital communication link and a problem-solver who keeps the pipeline moving smoothly.
1. Scheduling and Asset Tracking
The heart of your role is maintaining the “big picture” of the department’s progress.
- Build Lists: Assist in creating, maintaining, and updating comprehensive asset schedules and build lists.
- Progress Monitoring: Track the progress of all assets (including modeling, surfacing, and grooming) using ShotGrid. You will ensure that all updates are accurate and reflect the current status of each task in real-time.
- Assignment Management: Help distribute assignments to artists based on the schedule and priorities set by the Leads.
2. Cross-Departmental Communication
You are the primary liaison between the Assets team and the rest of the studio.
- Downstream Support: Facilitate clear communication between the Assets Department and downstream teams like Rigging, Layout, FX, and Lighting to ensure smooth asset integration.
- Information Flow: Ensure that artists have the information they need from the Art Department (concept art, reference images) and that downstream departments know when to expect their files.
3. Meeting Coordination and Documentation
In a fast-paced featurette production, clear communication is paramount.
- Meeting Organization: Schedule and facilitate production meetings, dailies, and asset reviews.
- Action Items: Document detailed notes, action items, and approvals during meetings and distribute them to the relevant stakeholders immediately.
- Reporting: Prepare weekly status updates and review materials for Supervisors and studio leadership to provide visibility on the health of the project.
4. Pipeline Optimization and Resource Management
- Bottleneck Identification: Proactively identify potential delays or technical hurdles in the asset pipeline. You will work with Leads and Production Management to coordinate solutions before they impact the schedule.
- Resource Coordination: Manage the gathering and distribution of reference materials and technical deliveries related to asset builds.
- Workflow Improvements: Assist the Production Manager in refining procedures to optimize the production speed and quality.

Professional Experience
- Industry Tenure: 1–2 years of experience as a Production Coordinator, ideally within a 3D animation or VFX studio environment.
- Asset Focus: Previous experience specifically within an Assets, Modeling, or Surfacing department is a significant advantage.
Technical and Soft Skills
- Software Proficiency: Expert-level familiarity with ShotGrid (or equivalent production tracking software) is essential for this role.
- Organizational Mastery: You must possess exceptional attention to detail and the ability to manage complex lists and schedules without dropping a single thread.
- Multitasking: The ability to prioritize tasks and handle multiple competing deadlines in a high-pressure environment.
- Communication: Excellent written and verbal communication skills. You must be able to translate technical jargon into production updates and vice versa.
- Workflow Knowledge: A general understanding of 3D asset workflows (how a model becomes a rigged character) is a major plus.

The salary range for this position is $1,200 – $1,400 CAD per week, pro-rata for the length of the contract. This range is reflective of our expectations as of the posting date and will be finalized based on your unique combination of experience, skills, and geographical location.
