As a Production Coordinator, you will collaborate closely with the Line Producer, Production Manager, and the broader department leadership to guarantee the efficient daily running and successful delivery of our upcoming slate. Position Summary & Core Objectives

The role of a Production Coordinator at Flying Bark Productions is the operational heartbeat of the department. You are the central point of contact connecting artists, department heads, supervisors, and internal/external production vendors. Your mission is to facilitate a seamless creative workflow while maintaining strict tracking systems to ensure project milestones are hit on time.

This role requires a unique blend of technical asset management, bulletproof scheduling, and human-centric empathy. You will constantly assess priorities, identify potential workflow bottlenecks before they cause delays, and ensure that all technical notes, tracking data, and shot variations are perfectly logged and communicated across departments.

1. Daily Operations & Schedule Coordination

  • Central Liaison: Act as the primary administrative anchor for your assigned 3D animation team, facilitating transparent, everyday communication between artists, department leads, and production executives.
  • Task Prioritization: Organize and distribute daily crew assignments in strict alignment with the master project schedule. Frequently check in with artists and supervisors to track progress and ensure milestones are hit.
  • Vendor Tracking: Keep external vendors fully aligned on upcoming deadlines, ensuring they are continuously equipped with all necessary reference materials, briefs, and assets to execute their targets.
  • Meeting Facilitation: Schedule and coordinate technical reviews, rounds, and creative feedback sessions. Ensure an efficient approvals process by following up on action items internally and with upstream/downstream departments.

2. Asset Management & Progress Reporting

  • Shot & Editorial Logistics: Track shot approvals dynamically and coordinate the delivery of animation files to and from the editorial department, ensuring external and internal handoffs are seamless.
  • Data Hygiene: Update and maintain the studio Shotgrid database continuously, ensuring all shot states, comments, playlists, and asset tasks reflect completely accurate, real-time data.
  • Status Reporting: Compile and present comprehensive weekly reports regarding your department’s physical progress, task completion rates, and structural challenges to the Production Manager and Production Supervisor.
  • Note Taking & Distribution: Attend creative and technical department meetings to capture clear, actionable notes, log them immediately into the tracking database, and distribute them to the appropriate team members.

3. Risk Mitigation & Team Support

  • Flagging Bottlenecks: Proactively notify the Production Manager and Production Supervisor of team execution issues, workflow friction, potential schedule delays, or resource overages, offering well-reasoned solutions.
  • Supervisor Scheduling: Liaise closely with the wider production crew to optimize and schedule the VFX Supervisor and CG Supervisors’ calendars for reviews.
  • Artist Advocacy: Provide consistent administrative and motivational support to the artistic crew, demonstrating strong conflict resolution skills within a dynamic, high-pressure creative environment.

Required Skills & Experience

To be successful as a Production Coordinator on our team, you must demonstrate the following qualifications:

  • Industry Experience: Proven background operating within a mid-level production capacity inside a professional 3D animation, visual effects (VFX), or high-end post-production pipeline.
  • Technical Literacy: Strong operational knowledge of Shotgrid or equivalent asset tracking databases, along with advanced proficiency in Microsoft Office (Excel, Word, Teams).
  • Organization & Asset Handling: Elite administrative skills with deep experience managing digital files, formatting complex production documents, and maintaining clean spreadsheets under tight deadlines.
  • Communication Skills: Strong written and verbal communication skills, with a specialized ability to connect empathetically and professionally with artistic personalities and external vendors.
  • Diary Management: Exceptional calendar and diary management skills, with the ability to balance shifting supervisor schedules across multiple creative departments.
  • Discretion & Trust: A proven ability to handle highly confidential scripts, IP material, and unannounced project assets with complete professional discretion.
  • Problem-Solving Mindset: A proactive, flexible approach to work, with a demonstrated ability to stay calm under pressure and adapt to extra tasks when unexpected creative changes arise.
