Role Description: The Production Coordinator
The Production Coordinator at Bardel is much more than an administrative role; you are the primary facilitator of the animation pipeline. You will be embedded within the feature animation team, serving as the bridge between the artistic talent and the production leadership.
In feature animation, the complexity of 3D assets, lighting, and rendering requires a coordinator who is detail-oriented and can anticipate bottlenecks before they happen. Your expertise will help maintain strict timelines, facilitate crystal-clear communication across departments, and ensure that every artist has what they need to succeed.
What You Will Be Doing: Responsibilities
1. Workflow Management & Scheduling
- Daily Operations: Monitor and manage the department-specific production schedule. You will ensure that daily targets are understood by the team and that roadblocks are identified early.
- Deadline Enforcement: Track weekly progress on specific tasks and artist submissions. You are responsible for ensuring the workflow remains efficient and that “crunch” is avoided through smart planning.
- Task Assignment: Work hand-in-hand with Department Leads and Supervisors to assign shots and assets to artists based on their skill sets and current bandwidth.
2. Communication & Liaison
- Central Point of Contact: Serve as the primary hub for information between the artists and the Production Manager/Producer regarding schedules and project updates.
- Meeting Facilitation: Organize and facilitate regular check-ins, dailies, and department meetings. You are responsible for ensuring the right people are in the room and that the goals of every meeting are met.
- Inter-Departmental Sync: Ensure that “downstream” departments are aware of when assets will be delivered, preventing idle time in the pipeline.
3. Documentation & Tracking
- Shotgrid Mastery: Maintain accurate, up-to-the-minute records of project milestones, artist outputs, and quotas using Shotgrid (formerly Shotgun) or similar project management tools.
- Review Management: Manage the review process, taking meticulous notes during sessions with Directors and Supervisors. You will update shot statuses immediately to ensure artists are always working on the most current version.
- Reporting: Distribute department information regarding production status and upcoming deadlines to stakeholders, providing a clear “snapshot” of the project’s health at any given time.
4. Problem Solving & Support
- Issue Resolution: Proactively address production-related concerns, whether they are technical glitches or scheduling conflicts, to keep the momentum of the project moving forward.
- Artist Support: Ensure artists have the necessary references, production documents, and feedback to perform their duties without delay.
Profile: What You Bring to the Team
Essential Qualifications
- Experience: A minimum of 2 years of relevant experience specifically within Feature Animation production. We are looking for someone who understands the higher stakes and longer cycles of feature-length storytelling compared to episodic TV.
- Software Proficiency:
- Required: Advanced experience with Shotgrid (or similar production tracking software like ftrack).
- General Tech: High proficiency in the Microsoft Office Suite (especially Excel for data management) and various project management tools.
- Process Knowledge: A strong, fundamental understanding of the 3D animation production pipeline (from Layout and Modeling through to Lighting and Compositing) and the specific artistic requirements of each stage.
