You are the “air traffic controller” for your assigned discipline, balancing the creative needs of Supervisors and Leads with the logistical requirements of the broader show schedule.

This is a high-visibility role that requires the ability to juggle multiple priorities while maintaining a calm, professional demeanor under the pressure of tight deadlines. You will act as a primary point of information, ensuring that every member of your team—from the Production Assistants you mentor to the Executive Producers you report to—is aligned and informed.

Detailed Responsibilities as Production Coordinator

1. Schedule Management and Tracking

  • Discipline Oversight: Work closely with discipline Supervisors and Leads to manage crewing, casting, and scheduling for your department’s body of work.
  • Data Integrity: Utilize ShotGrid (Flow Production Tracking) and internal ILM Australia tools to schedule, track, and manage all assigned work. You are responsible for ensuring that all status updates are accurate and reflect the real-time progress of the show.
  • Deadline Enforcement: Monitor department progress against internal and client-facing deadlines. You will conduct regular check-ins with artists to assess workload, identify roadblocks, and ensure targets are met.

2. Communication and Liaison

  • Process Establishment: Develop and maintain effective communication workflows for relaying targets, assignments, and priorities to both your specific artist crew and the wider show production team.
  • Information Hub: Serve as the central liaison between all relevant parties, providing instant updates on the status, priority level, and rescheduling needs of any given shot or asset.
  • Turnovers: Organize and lead “turnover” sessions with your department crew, communicating vital information to all artists assigned to assets or shots so they can hit the ground running.

3. Review Management and Dailies

  • Dailies Coordination: Act as the primary lead for organizing dailies and shot reviews throughout the day. You will manage the flow of media and ensure the Supervisor or Lead has everything they need for a successful review session.
  • Feedback Documentation: Take comprehensive notes during reviews regarding creative feedback and technical decisions. Ensure these notes are entered into the Internal Tracking System immediately to provide clear direction to the artists.

4. Leadership and Team Development

  • Mentorship: Supervise, delegate tasks to, and provide training for assigned Production Assistants. You are responsible for their professional development and integration into the ILM Australia workflow.
  • Technical Escalation: Act as the first point of contact for technical support issues within your department, prioritizing and escalating these to the IT or Media Systems teams as required.
  • Conflict Resolution: Anticipate potential bottlenecks or personnel issues and communicate them to leadership early to reach proactive solutions.

Technical Proficiencies
