We are looking for a highly organized, proactive Assistant Production Coordinator to join our production management team for a one-year fixed-term contract.
In this role, you are the “engine room” of the project—ensuring that data flows smoothly, artists stay on track, and the Director’s vision is translated into actionable tasks. As a Coordinator, you are the primary advocate for project health and departmental clarity.
Comprehensive Job Responsibilities
Your role is divided into three critical pillars: Data Integrity, Communication Facilitation, and Schedule Maintenance.
1. Production Tracking & Data Management
Real-Time Updates: Maintain the “source of truth” for the project. You will update project data daily using ShotGrid (formerly Shotgun), Excel, and internal tracking tools.
Status Oversight: Monitor the progress of individual shots and assets. You will ensure that as an artist finishes a task, the next person in the pipeline (e.g., Lighting after Animation) is notified and ready to begin.
Reporting: Generate weekly progress reports for the Producer and Line Producer, highlighting “burn-down” charts and potential bottlenecks before they become critical issues.
2. Facilitating Artistic Reviews (Dailies & Rounds)
Session Organization: You are responsible for the logistics of “Dailies”—the daily review sessions where work is critiqued. This includes booking rooms/links, ensuring technical setups are ready, and verifying that Supervisors are present.
Note-Taking & Feedback: During reviews, you will capture concise, actionable notes from the Director or Lead Artist. You must then translate these notes into the tracking system so artists have immediate, clear instructions for their next iteration.
Rounds: Conduct “desk rounds” to check in with artists individually, ensuring they have the resources they need and are clear on their daily objectives.
3. Cross-Departmental Liaison
The Bridge: Act as the primary point of contact between the Production Office and the technical/artistic departments (Modeling, Rigging, Animation, FX, etc.).
Conflict Resolution: Identify miscommunications between departments early. If the Rigging team is delayed, you must inform the Animation Coordinator immediately to adjust the schedule.
Information Flow: Ensure that all feedback—whether technical or creative—is shared rapidly among all relevant stakeholders to prevent “siloed” working environments.
Professional Qualifications
We are seeking a candidate who balances technical administrative skill with high-level interpersonal “soft skills.”
Communication Mastery: You must be able to communicate complex technical needs clearly and professionally, whether via email, Slack, or in-person briefings.
Software Proficiency: * Expertise in Microsoft Excel (VLOOKUPs, pivot tables, and complex formatting).
Working knowledge of ShotGrid or similar production management software (fTrack, Monday.com).
Familiarity with the digital content creation (DCC) pipeline (knowing the difference between a “mesh,” a “rig,” and a “render”).
Multitasking & Resilience: The ability to manage 50+ moving parts simultaneously in a high-pressure, deadline-driven environment without losing attention to detail.
Collaborative Spirit: A “no task is too small” attitude. You are a team player who understands that the success of the film/game depends on the accuracy of your data.
Feedback Integration: Ability to take direction from senior production staff and pivot strategies quickly as project needs evolve.
