The Role
The VFX Coordinator is the heartbeat of our visual effects project management. Acting as the vital bridge between VFX Supervisors, Artists, and Producers, you will strategize, implement, and communicate the tasks crucial to the delivery of our projects. You will ensure that projects are delivered on time and on budget, liaising effectively with external client stakeholders and our internal teams.
Key Responsibilities ::
Workflow Management: Work closely with Producers, Supervisors, and Artists to track and manage the flow of work through the studio, ensuring all internal and external deadlines are met.
Asset Tracking: Track and distribute incoming project elements and coordinate the submission of all final deliverables.
Communication Hub: Organize reviews, dailies, rounds, and meetings. Take detailed, comprehensive notes and distribute them to the relevant crew via the production database.
Database Management: Maintain an accurate summary of artist progress in the production database (fTrack). Ensure the database is updated daily with notes and critical information before the end of the day.
On-Set Coordination: When necessary, attend set with the VFX Supervisor to coordinate call sheet information, record notes, and wrangle VFX requirements with other departments.
Reporting: Prepare progress reports when requested and complete daily time logging.
Team Support: Help maintain a positive, upbeat, and professional team environment by being proactive and solution-oriented.
Requirements ::
Experience: 2+ years of previous experience as a VFX Coordinator.
VFX Knowledge: A solid understanding of the artistic and technical processes of VFX, including live-action workflows and the roles/responsibilities of the team.
Organizational Skills: Strong project management abilities with a focus on meeting deadlines. You must be able to multitask, manage priorities, and maintain strong attention to detail.
Technical Proficiency: Highly proficient in the Microsoft Suite (Outlook, Office, Teams) and database/scheduling software (experience with fTrack is essential). You should be able to quickly learn new software and understand common file formats/resolutions.
Communication: Excellent written and verbal communication skills, with the ability to work proactively towards a shared goal.
Resilience: The ability to remain calm and confident under pressure, work with urgency, and adapt to fast-paced environments.
