Role Overview
The VFX Coordinator is responsible for overseeing the flow of shots, assets, and tasks across the production pipeline, making certain that all briefs and supervisor or client notes are accurately tracked and communicated. You will work under the guidance of producers and VFX supervisors to ensure smooth operations and optimal use of resources. Your role will be vital in maintaining project organization, monitoring progress, and supporting the artistic team to meet deadlines without compromising quality.
This position requires someone who is highly organized, proactive, and capable of multitasking in a high-paced environment. The VFX Coordinator needs to be confident in interacting with multiple departments and individuals, from administration and production to artists and technical teams, ensuring that information flows efficiently across the entire production ecosystem.
Key Responsibilities
Material Organization:
Assist in collecting, organizing, and distributing materials, reports, and references from shoots.
Ensure that all assets, references, and production documents are properly categorized and accessible for the team.
Maintain a clear system for archiving and retrieving project materials, helping artists and supervisors find what they need quickly.
Workload Planning:
Collaborate with VFX Supervisors and Production Directors to plan the workload for assigned departments.
Allocate tasks in line with project schedules, artist availability, and project priorities.
Maintain flexibility to adapt plans as production demands evolve.
Overview Allocation:
Review the daily schedule of tasks and assignments provided by the producers.
Monitor progress against planned timelines and resource allocation.
Ensure that manpower and resources are efficiently distributed to meet production goals.
Team Support:
Provide all necessary elements and resources to the team for smooth functioning.
Maintain tools, references, and communication channels to support artists’ workflow.
Anticipate team needs and prepare resources in advance to avoid bottlenecks.
Validation Tracking:
Organize and track validations for tasks and shots to ensure all necessary approvals are obtained in a timely manner.
Maintain a clear record of approvals from supervisors, clients, and internal teams.
Alert producers and supervisors to pending validations to prevent delays.
Artistic Team Management:
Monitor deadlines for each assigned task and shot within your department.
Perform daily verifications of task completion and progress.
Adjust schedules proactively to maintain efficiency and meet project milestones.
Interdepartmental Communication:
Act as the primary point of contact between administration, production, and the artistic team.
Ensure that information, updates, and feedback flow smoothly across departments.
Facilitate collaboration between technical, creative, and administrative teams to prevent miscommunication or delays.
Progress Reporting:
Prepare daily reports on task progress, including tasks pending, in progress, and completed.
Track validations and approvals, flagging any issues or bottlenecks.
Provide updates to producers and supervisors to maintain visibility of project status.
Expense Monitoring:
Keep track of current and upcoming expenses within the departments.
Ensure that expenditures remain within budgetary constraints.
Report potential budget risks and collaborate with producers to find solutions.

Qualifications & Skills:
Proven experience in production coordination, project coordination, or VFX pipeline management.
Exceptional organizational and time-management skills.
Strong communication and interpersonal abilities.
Proficiency in project management tools and software (Shotgun, ftrack, or similar tools preferred).
Ability to multitask and adapt to changing priorities in a fast-paced environment.
Detail-oriented mindset with a focus on accuracy and efficiency.
Knowledge of VFX workflows, production pipelines, and asset management is highly desirable.
