The Role: The Heartbeat of the Pipeline

As a VFX Production Coordinator at Black Kite, you are a crucial navigator of the creative process. You will work side-by-side with our Producers and Executive Producers (EPs) on large-scale global briefs, ensuring every moving part of the VFX machine is synchronized. While you will support senior leadership on massive projects, you will also be given the autonomy to lead smaller-budget projects as you grow, providing a rare opportunity for hands-on career development.

Primary Responsibilities

1. Project Architecture & Setup

  • Supporting Leadership: Assist Producers and EPs with essential bidding processes, complex scheduling, and the creation of detailed shot lists.

  • Database Management: Take ownership of ShotGrid (formerly Shotgun) pages. You will help develop and refine our internal workflows within the platform to ensure data integrity across the studio.

  • CETA Maintenance: Ensure that CETA (our bidding and scheduling software) is consistently up to date for all active projects, providing an accurate financial and logistical snapshot at any given time.

2. Communication & Workflow Management

  • Inter-Departmental Liaison: Act as the central hub for communication between the 2D, 3D, and Design departments, ensuring that creative intent is never lost in translation.

  • Dailies & Feedback: Attend dailies sessions religiously. You are responsible for taking precise notes, distributing them to the relevant artists, and following up to ensure feedback is implemented before the next review.

  • Artist Assignment: Work closely with the Scheduling team to manage artist bookings. You will help ensure we have the “right talent on the right projects” based on both skill set and availability.

  • Outsource Coordination: Liaise with our trusted global outsource partners. You will manage the flow of shots sent out for Tracking, Roto, and Prep, working with Leads and Supervisors to verify that the returns meet our quality standards and quoted costs.

  • Client Relations: Assist in sending out WIPs and review links to clients, maintaining a “best practice” communication style that reflects Black Kite’s premium brand.

  • Pitching Support: Help create visually compelling decks and provide logistical support during the pitching phase for new business.
